Terms & Conditions

Our booking conditions — the key terms that apply once you book a trip with us.

1. Our company details

Your contract is with Supreme Tours Limited, Orbital House, 3 Redwood Crescent, East Kilbride, G74 5PA. Company number SC273220. Contact: info@supremetours.co.uk.

2. Your contract with us

These booking conditions, together with any information we provide about your booking, form the basis of your contract with us. The "lead name" on a booking (the person who made it, or the authorised representative of the school) is responsible for full payment, confirming everyone's details to us, passing on our confirmation invoice and these conditions to the group, and the conduct of everyone in the booking. A contract only comes into existence once we've issued a Confirmation Invoice — please check it carefully and tell us immediately about any errors.

3. Payment

A deposit is payable for each person on the booking. The remaining balance is due 10 weeks before departure. If you book within 10 weeks of departure, full balance is payable at the time of booking. Unpaid deposits or balances may result in cancellation of the booking and loss of the deposit.

4. Amending your booking

Requests to change a confirmed booking must be made in writing by the lead name. Where possible, we'll make the change, but an administration charge of £20 per booking per change applies, plus any further costs incurred. Some elements (flights, transfers, excursions, upgrades) may not be changeable, and a cancellation charge of up to 100% for that element may apply. Bookings can be transferred to another person with at least 7 days' notice before departure.

5. Cancelling your booking

Cancellations must be made in writing by the lead name. Cancellation charges (as a percentage of the total cost) apply based on how far ahead of departure we're notified:

  • More than 56 days: deposit or flight cost, whichever is greater
  • 42–55 days: 60%
  • 29–41 days: 70%
  • 22–28 days: 90%
  • 0–21 days: 100%

Where the cancellation charge would be less than the deposit, the deposit is charged instead. Charges covered under your travel insurance policy may be reclaimable.

6. Travel insurance

It's a condition of booking with us that you have adequate travel insurance in place from the date you book, covering cancellation, medical expenses, repatriation, personal belongings and any pre-existing medical conditions.

7. Changes we may need to make

Occasionally we need to change bookings. Minor changes (e.g. small flight time changes, comparable accommodation swaps) don't carry compensation. For significant changes, you'll be offered the choice of accepting the change, an alternative if available, or a full refund. Prices may also change due to fuel costs, taxes, or exchange rates, though never within 20 days of departure, and increases of 2% or less are absorbed by us.

8. Cancellation by us

We won't cancel a booking less than 2 weeks before departure except for unavoidable and extraordinary circumstances, non-payment, or where a minimum group size isn't reached. If we do cancel, you'll be offered a full refund or a comparable alternative.

9. Unavoidable and extraordinary circumstances

We're not liable for issues arising from events beyond our control — including war, civil unrest, terrorism, health risks or pandemics, government action, natural disasters, adverse weather, or industrial disputes.

10. Our liability

Under the Package Travel and Linked Travel Arrangements Regulations 2018, we're responsible for the proper performance of your package. We're not liable for issues caused by you or your group, unforeseeable actions of unconnected third parties, or unavoidable and extraordinary circumstances. Except in cases of death or personal injury caused by our negligence, our liability is limited to a maximum of three times the cost of your travel arrangements.

11. Financial protection

Money paid for a flight-inclusive booking is protected by our ATOL (6862), managed by the Civil Aviation Authority. You'll receive an ATOL Certificate confirming what's protected. For bookings that don't include flights, financial security is provided by way of an insurance policy with Towergate Underwriting Group Limited.

12. Special requests & medical conditions

Special requests must be advised at the time of booking — we'll do our best to accommodate them but can't guarantee they'll be met. If anyone in your group has a medical condition, disability, or reduced mobility, please tell us in full at the time of booking so we can advise on suitability.

13. Complaints

If something goes wrong during your trip, please tell us and the relevant supplier immediately so it can be put right. If unresolved, formal complaints should be sent in writing to info@supremetours.co.uk within 28 days of your return, with your booking reference. We're a member of ABTA (membership number Y6490) and follow ABTA's Code of Conduct; ABTA also offers an independent dispute resolution scheme at abta.com.

14. Behaviour

Everyone travelling with us is expected to behave in an orderly, acceptable way. Where behaviour causes distress, danger, or damage, we reserve the right to treat the booking as cancelled by you, with no further liability on our part. Group leaders and accompanying adults are responsible for supervision and the wellbeing of their group throughout the trip.

15. Passports, visas & health requirements

It's your responsibility to check and comply with passport, visa, entry, and health requirements for your destination, and for returning to the UK. Requirements can change, so these should be checked regularly up to your date of return. Most countries require passports valid for at least 6 months beyond your return date.

16. Data protection

Our Privacy Policy explains what personal data we collect and how we use it. Photographs or video may occasionally be taken during trips for use in our marketing — by booking with us, you consent to this unless you tell us otherwise, and no one is identified by name.

17. Law and jurisdiction

These booking conditions are governed by Scottish law, and any dispute will be dealt with by the exclusive jurisdiction of the Courts of Scotland.
